Construction Project Administrator
We are seeking a highly organized, detail-driven, and proactive Construction Project Administrator to provide primary administrative support to our Construction Team, with secondary support to Finance and Sales Operations.
This role is ideal for someone who thrives in structured environments, maintains accuracy under pressure, and can independently manage multiple priorities while communicating effectively with vendors and internal stakeholders.
The successful candidate will play a key role in ensuring project documentation, financial allocations, and operational workflows are accurate, organized, and executed on time.
Key Responsibilities
Primary Responsibilities – Construction Project Administration
Provide administrative and coordination support to the Construction Team
Prepare, track, and maintain contracts and Purchase Orders (POs)
Review and verify finance codes of accounts to ensure accurate allocation
Communicate with vendors to obtain timeline updates, documentation, and deliverables
Request, collect, and compare vendor quotes for materials or services
Maintain organized records of contracts, proposals, change orders, and related documentation
Track project documentation and ensure timely follow-ups on pending items
Support process improvements to maintain efficient project workflows
Secondary Responsibilities – Finance & Sales Operations Support
Assist Finance and Sales Operations with reporting and documentation requests
Support data organization and tracking initiatives
Prepare and maintain operational documentation
Provide administrative follow-ups across construction, finance, and sales processes
Handle miscellaneous administrative and coordination tasks as needed
Qualifications
Strong attention to detail and high level of accuracy
Exceptional organizational and time-management skills
Ability to manage multiple priorities and meet deadlines consistently
Comfortable communicating with vendors and cross-functional teams
Ability to work independently with minimal supervision
Professional communication skills and positive, proactive attitude
Advanced proficiency in Microsoft Office or Google Workspace (especially Excel/Sheets)
Experience supporting Construction, Finance, or Operations teams is a plus
Strong English communication skills (written and verbal)
