Administrative / Scheduling Coordinator
We are looking for a proactive and highly organized Administrative / Scheduling Coordinator who can manage daily operational tasks independently. This role requires someone who takes ownership of responsibilities, understands priorities, and keeps processes moving without needing constant follow-ups or reminders.
Key Responsibilities
Handle appointment scheduling and outbound/inbound calls.
Prepare and send invoices, estimates, and quotes.
Follow up on quotes that have been sent and maintain an organized list of pending quotes.
Track quote approvals and ensure timely follow-up with clients.
Manage scheduling efficiently, including filling open slots from cancellations and rescheduling jobs as needed.
Convert approved estimates into work orders and organize them within the workflow.
Monitor job progress, completions, pending schedules, and follow-ups to ensure nothing is missed.
Maintain clear records and stay on top of tasks without requiring constant direction.
